How we collect, use and protect your personal data when you use Pub Club.

This is a plain-English template provided as a starting point. It is not legal advice. Before launch, have it reviewed by a qualified adviser and confirm it reflects exactly how your business actually processes data (including your registered company details and, where required, your ICO registration).

Who we are

Pub Club (“we”, “us”) operates this marketplace for official pub merchandise, printed to order in the UK. For the personal data described in this notice, we are the data controller. If you have any questions, contact us at hello@pubclub.co.uk.

What we collect and why

Account information

Your name, email address and password (stored only in hashed form) so you can sign in, manage your orders and contact us. Lawful basis: performance of our contract with you, and our legitimate interest in running a secure service.

Order and delivery information

The items you buy, your delivery address, and contact details needed to fulfil and dispatch your order and to provide customer support. Lawful basis: performance of our contract with you.

Payment information

Payments are processed by Stripe. We do not see or store your full card number — Stripe handles card data on its own secure, PCI-compliant systems and shares back only a confirmation and limited details (such as the last four digits) so we can identify your order. Lawful basis: performance of our contract, and compliance with our legal obligations (for example, tax and accounting records).

Usage and search analytics

Aggregated, anonymised information about how the site is used — such as popular searches and products — to improve the marketplace. This is not used to identify you. Lawful basis: our legitimate interest in understanding and improving our service.

Communications

If you email us or a pub through the platform, we keep those messages to handle your query. Marketing emails are only sent where you have opted in, and you can unsubscribe at any time.

Who we share data with

We never sell your personal data. We share it only with the service providers we rely on to run Pub Club, and only as far as needed:

  • Stripe — to process payments securely and prevent fraud.
  • Our UK print & fulfilment partner (e.g. Printify) — to print your item and post it to your delivery address.
  • Resend — to send transactional emails such as order confirmations and dispatch notices.
  • Hosting and infrastructure providers — to run the website and store data securely.
  • Authorities or advisers where we are legally required to disclose information.

These providers act on our instructions under appropriate data-processing terms. Where data is transferred outside the UK, we rely on appropriate safeguards recognised under UK data protection law.

How long we keep it

We keep your account data for as long as your account is active, and order records for as long as we need them to meet legal, tax and accounting obligations (typically several years). We delete or anonymise data when it is no longer needed.

Your rights

Under UK GDPR you have the right to:

  • Access the personal data we hold about you.
  • Ask us to correct data that is wrong or incomplete.
  • Ask us to erase your data where there's no ongoing reason to keep it.
  • Object to, or ask us to restrict, certain processing.
  • Receive a copy of your data in a portable format.
  • Withdraw consent (such as for marketing) at any time.

To exercise any of these, email hello@pubclub.co.uk. You also have the right to complain to the Information Commissioner's Office (ICO) at ico.org.uk, though we'd appreciate the chance to put things right first.
